How to write a resume
1. Date and time in the resume
- For the date and time, please write the date of submission.
*If sending by mail: the date you put it in the mailbox
*If sending by email: the date you send the email
*If handing it over directly: the date you visit
- You can use either the Gregorian calendar (20XX年) or the Japanese calendar (平成XX年、令和XX年)
*If you use the Gregorian calendar, make sure to use it consistently for all entries.
2. Name and Furigana
- Write your name in large letters so that it stands out.
- Leave spaces between your last name, first name, and middle name.
- Write your name in the same order as it is written on your resident card or your pasport.
- If you have a common name, you can use it as well.
- If it says “フリガナ” write it in katakana.
- If it says “ふりがな” write it in hiragana.
3. Date of birth
- If you filled in the date on your resume using the Gregorian calendar, write your date of birth in the Gregorian calendar.
- If you filled in the date on your resume using the Japanese calendar, write your date of birth in the Japanese calendar.
- Write your age using the Japanese method of counting age.
*In Japan, you are 0 year old at birth and turn 1 year old on your next birthday.
4. Identification photo
- Use a photo taken at a photo booth or photo studio.
- The background should be white, blue, or gray.
- In Japan, excessive skin retouching is prohibited. Ensure the photo accurately represents your appearance.
- Wear a suit when taking photo. Black or navy blue is best.
- Choose a white or pastel-colored shirt, such as light blue.
- Use small accessories.
- Make sure your front hair do not cover your eyes and tie back long hair for a neat appearance. Keep long hair tied up so that it doesn’t get in your eyes.
- Make sure to dress appropriately for the job when taking your ID photo.
5. Educational background
- Write your educational background in chronological order. Do not include work experience.
- Start from “High School Graduation” and onwards.
- Write the month and year of “Entrance” and “Graduation”.
- Indicate the location and country of the school in ( ), making the document easier to understand for the reader.
6. Work History
- Write the companies you have worked for in chronological order.
- Include the month and year you joined and left the company.
- Write the company names in their official format. For example: ✓:株式会社エーテック ✕:エーテック
- Do not write down part-time or internship experience.
*However, if the part-time job experience is directly related to the job you are applying for, you may include it.

Job: Front desk duties at a hotel
“OK!” Example
Internship experience: Research work at a manufacturer
Job: Sales job at a marketing research company
“NG!” Example
Part-time job experience: Customer service duties at a restaurant
Job: General position
NG reason:The part-time experience does not match the job category.
- If you want to highlight your part-time work experience or internship experience, fill it in the PR column.
- Also fill in all companies where you have been employed for a short period of time.
- Briefly state the reasons for leaving each job.
- E.G.
- 「一身上の都合により退職」(Resigned for personal reasons)
「帰国のため退職」(Resigned due to returning to home country)
「会社都合により退職」(Resigned due to company circumstances)
「契約期間満了のため退職」(Resigned due to the expiration of the contract period)
For resignations due to personal reasons such as dissatisfaction with the company or for career advancement, write「一身上の都合により退職」
- If you have work experience in countries other than Japan, include the country you worked in ( ) to make the document easier to understand for the reader.
- Write「以上」at the end.
7. Language skill
- List all the languages you can use.
- Indicate your language proficiency level as either daily conversation level, business level, or native level.
- Include the results of any language proficiency tests you have taken, along with the month and year the results were issued.
8. PC skills and IT skills
- List all the softwares and IT technologies you can use.
*If you include this information in your work history, you do not need to include it in your resume. - For Microsoft Office: List the software you can use, such as Excel, Word, PowerPoint, and Access.
*If you are good at Excel functions, it is a good idea to write down what functions you can use.
9. Licenses and qualifications
- List the licenses and certifications you have obtained in your home country or in Japan.
- If the job posting specifies certain licenses or certifications as requirements, be sure to include them.
- Also include any licenses or certifications that may be useful for the job you are applying for.
- If you are currently studying for a license or certification and have not yet obtained it, mention this in the PR column.
10. Hobbies and special skills
- If you have any hobbies or special skills, be sure to include them. Sometimes, discussing hobbies can help you connect with the interviewer.
- Hobbies and special skills are also one way to PR yourself.
11. Self-Promotion and Motivation for Application
- Refer to the skills, experiences, and personal qualities that the company you are applying to is looking for, and rewrite it for each company.
- If you are applying for a mid-career position, focus not only on your student days but also on your work-related PR points.
12. Current situation
- For the nearest station, write the station closest to your home.
- For commuting time, write the time it takes to commute from your home to the workplace of the company you are applying to.
- If you are married and have a spouse, mark 「有」a circle.
